Role Description

The Executive Assistant will be supporting the Managing Director and the Management team of Teradata Netherlands. This includes all administration and secretarial duties such as preparing meetings, diary management, updating administration systems and managing emails. In addition, the Executive Assistant will also be responsible for general office management duties for the Amsterdam office.

Key Areas of Responsibility

 Preparing MT meetings, making action and decision list; preparing Sales meetings

 Arranging appointments

 Arranging travel itineraries

 Signature check and validations

 Managing administrative tasks requiring planning and organizing of people, materials and facilities

 Organizing and expediting flow of work through manager's office. Initiating follow-up action Establishing and maintaining effective working procedures and filing system.

 Organizing and preparing documents requiring the integration of multiple office technology and software applications.

 Drafting correspondence for manager's approval

 Communicating and/or coordinating manager's instructions and wishes with various individuals and/or departments

 Routing or answering routine correspondence not requiring manager's attention

 Supporting a team in multiple locations

 Ordering office supplies and managing various office needs

 Sorting and follow up of mail

 Managing parking passes distribution

 Managing phone subscriptions

 Managing cellular phone expenses

 Any other tasks that are required to be done from an administrative nature.

Qualifications

Skills/ Experience

 Proficient in English and Dutch

 Excellent communication (written and oral) and interpersonal skills

 Advance level Microsoft Office skills

 Ability to communicate effectively at all levels of the organization

 Minimum of 10 years secretarial experience supporting senior level management in a similar role and environment (international company)

 Be a strong team player and ability to multi task.

 Strong time management and organization skills
